A Missing Cargo Aircraft Exposes the Five Records Every Airfreight Contingency Plan Needs

When a cargo aircraft disappears from tracking, aviation authorities and the carrier take charge of search, rescue, accident response, and official notifications. A shipper or freight forwarder has a different job: identify what was aboard, protect people from cargo-specific hazards, preserve evidence, secure replacement capacity, and communicate facts without turning an uncertain milestone into a false conclusion.
That distinction became painfully clear after a Pakistan-registered Boeing 737 freighter lost contact near Karachi. Reuters reported that the aircraft was carrying five crew members, had reported a navigation problem, and disappeared from radar roughly 40 nautical miles south of Karachi. Authorities subsequently located wreckage after a search lasting about 12 hours, according to a Reuters follow-up.
No logistics system can replace the official safety response. It can, however, prevent the commercial response from being paralyzed by scattered records. Five record sets should be retrievable within minutes.
1. The complete air waybill record
Start with the master and house air waybills, not a tracking-screen summary. The record must show shipper, consignee, routing, handling information, piece count, gross weight, chargeable weight, commodity description, declared value, and every consolidation relationship.
This is the primary index for determining which customers and purchase orders may be affected. It also connects the operational event to the contract of carriage and claims process. Store the accepted version, subsequent amendments, and carrier acknowledgments together. If a house waybill was re-associated with a different master record during consolidation, that history matters.
The first response clock should be short: within 15 minutes of a credible exception, freeze automated “in transit” progression and export an immutable copy of the waybill hierarchy. The status can remain “location unconfirmed” until an authoritative source confirms more.
2. The loaded manifest and custody history
An air waybill describes a booked shipment; the flight manifest and custody events help establish what was actually tendered, accepted, screened, built into a unit load device, and loaded. The essential data includes flight number and date, origin and destination, unit load device positions, piece-level identifiers, warehouse scans, offload notices, and timestamps.
That difference is critical. Booked cargo may have missed the flight, been split across flights, or been removed during load control. A contingency team should not alert a customer that goods were lost merely because its planned flight matches the affected aircraft.
Within 30 minutes, reconcile the latest carrier manifest against warehouse handoff and load-confirmation events. Put shipments into three queues: confirmed loaded, confirmed not loaded, and unresolved. The unresolved queue deserves active investigation, not an assumed milestone.
3. Dangerous-goods and special-cargo declarations
The dangerous-goods file must include the shipper’s declaration, UN number, proper shipping name, hazard class, packing group, quantity, packaging instruction, emergency contact, and acceptance-check results. Attach special-cargo data for lithium batteries, pharmaceuticals, live animals, perishables, and temperature-controlled goods even when they are not regulated as dangerous goods.
These records support authorities and emergency teams; they also determine whether replacement uplift is possible. A carrier with space may still be unable to accept the same commodity, battery configuration, temperature range, or unit load device. Treating all capacity as interchangeable wastes the first hours of recovery.
Within 30 minutes, send the verified dangerous-goods and special-handling summary through the carrier’s designated emergency channel. Never reconstruct regulated data from an invoice when the signed declaration is available.
4. Insurance, valuation, and claims evidence
The claims file should already contain the cargo policy or certificate, insured party, coverage period, exclusions, deductible, insured value, commercial invoice, packing list, inspection evidence, and notice contacts. It should also identify which party has standing to make a claim under the sales terms and transport contract.
Do not wait for a final accident determination to notify the broker or insurer. Give preliminary notice within two hours, clearly labeling the loss status as unconfirmed where appropriate. Preserve carrier messages, milestone logs, photos, seal records, temperature data, and replacement-freight quotations. 5. Customer priority and recovery rules
The fifth record is operational, not regulatory: a ranked recovery file. It should connect each affected shipment to the customer’s required-delivery date, production-line or patient impact, service commitment, inventory available at destination, acceptable substitute, maximum premium-freight authorization, and named decision-maker.
This prevents the loudest inbox from consuming scarce replacement capacity. It also makes tradeoffs auditable. A low-value component that stops a factory may rank above a high-value replenishment shipment with two weeks of stock at destination.
At 60 minutes, publish the first customer update for confirmed and unresolved shipments. State what is known, what remains unconfirmed, the next decision time, and the owner. At two hours, request replacement options by lane and cargo constraint. At four hours, approve the best feasible routings using customer impact and capacity expiry—not shipment value alone.
Speed matters because spare capacity can tighten quickly. FreightWaves reported that global air cargo demand rose 4% in the first half of 2026 and 7% in June, while capacity barely changed. During a disruption, a booking request that sits overnight can become a materially more expensive or unavailable option.
Turn the records into a controlled workflow
